Hardwood Refinishing Toronto ("we", "us" or "our") is a residential and commercial hardwood flooring contractor based in Toronto, Ontario, serving the Greater Toronto Area. This policy explains what personal information we collect through this website and during our work, how we use it and the choices you have. We handle personal information in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

1. Information we collect

We collect information you choose to give us, mainly through our quote and contact forms or by phone:

Your name and phone number, and your email address if you choose to provide it
Your neighbourhood or city and, once a job is booked, the service address
Details about your floor and project: service needed, approximate square footage or number of steps, photos you send, and timing
For property managers: company name, billing contact and certificate of insurance requirements
Payment details needed to invoice and collect payment (card payments are processed by third-party payment providers; we do not store full card numbers)

We also collect limited technical information automatically, such as the page you submitted a form from, browser type and general usage data, through standard server logs and cookies.

To respond to your enquiry and prepare a written per-sq-ft quote
To schedule on-site measures and work, and to keep you updated on your project
To invoice, collect payment and honour our 5-year workmanship warranty
To provide certificates of insurance and paperwork requested by you, your insurer or your condominium corporation
To improve our website and services
To send occasional follow-ups or maintenance reminders, only with your consent; you can opt out at any time

3. How form submissions are processed

Our website forms are delivered to us through a lead-capture service operated by LocusPilot, which passes your submission to us by email. The service filters spam and removes scripts from submissions. It processes your information only to deliver it to us.

We do not sell or rent your personal information. We share it only when needed:

With service providers who help us run the business (form delivery, payment processing, accounting software, website hosting)
With your property manager or condominium corporation when you ask us to, for example to provide a COI or schedule building access
With our insurers and professional advisers where required
With authorities when required by law

5. Photos of your floor

We take before and after photos of floors for quality control and warranty records. We only use photos in our gallery or case studies without any personal identifiers, and we describe locations by neighbourhood only, never by street or address. Tell us if you prefer your project not to be photographed or published.

6. Cookies and analytics

Our website may use cookies and similar technologies to understand how visitors use the site and to measure the performance of our pages. You can set your browser to refuse cookies or alert you when cookies are being sent. Some parts of the site, such as calculators and forms, still work without cookies.

7. How long we keep information

We keep project records, including quotes, invoices and photos, for as long as needed to provide warranty service and meet tax and legal requirements, typically seven years. Enquiries that do not become projects are deleted or anonymised after a reasonable period.

8. Security

We use reasonable administrative, technical and physical safeguards to protect personal information from loss, theft and unauthorised access, use or disclosure.

9. Your rights

You may ask to:

Access the personal information we hold about you
Correct information that is inaccurate
Withdraw consent to marketing messages
Have your information deleted, subject to legal and warranty record requirements
